How to manage your trade groups, agencies and users

Introduction

The Trade Manager in the context of TProfile is a tool used for managing B2B (Business-to-Business) operations, allowing for more intricate handling of agencies, that involve the exchange of quotes between businesses.

  • Trade Groups: Where you have the same agency name and different branches. E.g. Kuoni Travel

  • Trade Agencies: These are B2B entities, meaning they act as intermediaries between businesses (such as travel companies or suppliers). The contact details of the agency can be included on the quote. The choice to include their details is a business decision and depends on the preferences or requirements of the agency.

  • Trade Agents: These refer to the individual travel agents or representatives who are the direct recipients of the quote. Their contact details can also be included on the quote if desired. This would be more personal, as the agent is the specific point of contact.

Note: The key point here is that it's a business decision whether to highlight the broader agency or the specific agent on the quote, depending on what works best for your process or relationship with the client.

 

Set Up in Trade Manager

To add contact details based on the type of entity (Trade Agencies or Trade Agents), follow these steps:

Go to Business Tools:

  • Navigate to the Business Tools section within your system or platform.

  • Select Trade

When adding a new entity under Trade Groups, Trade Agencies, or Trade Agents, you'll need to follow a structured approach to ensure that all relevant details are captured correctly. Here’s a step-by-step guide on how to choose the appropriate category and add contact details:

Choose the Appropriate Category:

  • Decide which category you want to add the contact details to:

    • Trade Groups (for agencies with multiple branches under the same name)

    • Trade Agencies (for individual agencies)

    • Trade Agents (for individual agents within an agency)

Enter Trade Group Details (if you selected Trade Groups): Select a user

  • Name: Input the name of the trade group or agency.

  • Brand: Only fill this in if the agency operates under more than one brand. This helps to differentiate the brands within the group.

  • Email Address: Provide the main contact email address for the trade group.

  • Contact Number: Enter the primary phone number for reaching the agency or group.

  • Overview: Write a brief bio about the business

  • ABTA: Include the ABTA number

  • Address: Input the address

  • Logo: Upload the agency’s logo for branding purposes.

Save the Details:

Once all the required information is entered, make sure to save the details to ensure they are captured in the system.

Enter Trade Agencies Details: When adding Trade Agencies, you’ll follow a similar process to that of Trade Groups follow the above steps.

Enter Trade agency Details

  • First Name

  • Last Name

  • Username: Email address

  • Role: Trade agent only

  • Trade Agencies:

  • Look for the drop-down box then click on the drop-down box to view the list of available Trade Agencies.

  • Select Trade Agencies:

  • Select the appropriate agency (or agencies) from the list that are associated with the chosen Trade Agent.

Contact details

  • Email

  • Contact number

  • Bio

  • Upload an image of the agent or business logo

How to add to a quote (Trade Agency)

Create a New Enquiry:

Start by navigating to the section to create a new enquiry.

Search for Trade Agent/ Agency:

  • Select Trade

    • In the search box, search by the trade agent's name, agency or ABTA

    • Select from the dropdown list.

Enter Holiday Details:

Proceed to the next page to enter the required holiday details, such as destination, dates, and preferences.

Create the Enquiry:

After inputting all details, click on Create to generate the enquiry.

Edit the Enquiry:

On the enquiry page, click the Edit button (typically located on the right-hand side under Enquiry Details).

Select the Required Trade Agent: Optional: Show Both Trade Agencies and Trade Agent:

Save the Enquiry:

Once you've made your selection, click Save to update the enquiry with the correct trade agent and continue to create your quote.

If your business process requires displaying both Trade Agencies and Trade Agents, you can select both options during the setup or editing of the enquiry.

 

How to add to the quote

Adding a Trade Agent's Customer to a Quote

If you need to input a trade agent’s customer's details on the quote:

  1. Create a New Enquiry:

    • Navigate to the "New Enquiry" section.

  2. Create a New Customer:

    • Select "Create a New Customer" instead of choosing an existing agent.

    • You can select the trade agent, trade agency, or both for display on the quote.

  3. Proceed with Holiday Details:

    • Follow the same steps as before to input the holiday details.

A: Yes. You can choose to display either or both depending on your preference.
